Entering IGA paper information into Excel Spreadsheet

You only need change the entries in the following columns marked in bold (the columns not needing update are generally in YELLOW in the spreadsheet, so just enter data into White columns).  The items shown here in blue do not need to be changed in any given spreadsheet.

authors  The authors names are entered in full if possible, using first character Caps format, for example “John W. Lund”.  You can cut the author names from the PDF file and then use the “Copy from Clipboard” button in FixTitleCaps. This will put the names in the required format.  You can then copy them from FixTitleCaps into the database, column Authors.

title  The title also uses first character Caps format, for example “Scale Formation in Geothermal Plants”.  You can cut the title from the PDF file and then use the “Copy from Clipboard” button in FixTitleCaps. This will put the title in the required format.  You can then copy it from FixTitleCaps into the database, column Title.

conference

year

session  Some conferences has session titles specified, some do not.  Leave blank if not.  If supplying a session title, use first character Caps format, for example “Regional Exploration”.

Keywords  Some papers have key words, some do not.  Leave blank if not.  If supplying key words, use lower case or first character Caps format (but not ALLCAPS please).

Papernumbe  Most conferences do not have paper numbers, leave blank if not.

filename  It is very important to get the file name correct, otherwise the file will not be found by the search engine.  The search engine runs on a UNIX machine, so the file name is case sensitive.  The best way to supply the file name is to click once on the file name (as if you were going to rename it) then press Ctrl-Insert to copy it to the clip board, then press Esc.  You can then paste the exact file name into the database.

Filesize  You can read the file size from the directory.  The main purpose is for people to know how big a download it is.  You can supply an entry like “1084 KB” or “1.1MB”.

last1  The last name of the first author of the paper. First character Caps format.

abstract  Entering the abstract allows people to find the paper by searching on content words.  But the abstract has to be a single line of text, otherwise it will flow into the next row of the spreadsheet. You need to pass the abstract through the FixTitleCaps program to remove the line breaks.  Select the abstract in the PDF file and copy to clipboard.  Go to FixTitleCaps and use the “Just strip Line Breaks” button.  Then you can copy the whole abstract from the text box (Home, Shift Ctrl End, Ctrl-Insert) and paste it into the Abstract box of the spreadsheet.
